Using RIMMF. Tutorial #3, Import a NAF record for an Expression of a Work that is already in your EI

In this tutorial, we are going to learn about importing a NACO Authority (NAF) record as an RDA RIMMF Expression record, when we already have a RIMMF Work record for that expression.

Open RIMMF

  • Open RIMMF
  • Make sure that you are using the 'Goudge' data folder that you created in Tutorial #1
At the bottom of the RIMMF screen, look for "\Goudge\
  • Open the Entity Index (EI) <Ctrl+E>
The EI should contain: 
  Composite Key	                                                Entity		
  ----------------------------------------------------------------------------
  Goudge, Elizabeth, 1900-1984                                  Person
  Goudge, Elizabeth, 1900-1984. Herb of grace	                Work
  Goudge, Elizabeth, 1900-1984. Eliots of Damerosehay saga	Work

Import a NAF record for an Expression

Find and View the Expression Record for Importing

  • Open the RIMMF Search and Retrieval Tool <F3>
  • Search in [ID]NAF: Goudge, Elizabeth, 1900-1984. Herb of grace
  • Select: Goudge, Elizabeth, 1900-1984. Herb of grace. German
  • Click <View MARC>
Notice that this authority record is for a German Expression
  of the Work that we imported in the previous Tutorial (#2);
  and this record contains the German title of the Work
  as a Variant Access Point for the Expression (in the 400 field).
  • Click <Import>
  An 'R-Tree' displays the RDA Record set for the Expression.
  
  Notice that this includes not just the Expression, 
    but also the Work and the author
    and also the series that the Work is in.
    
  But notice that the Expression checkbox,
    to the right of the heading, is checked
    whereas the Work, author, and series checkboxes are not checked.
  
  This is because the Import process determined 
    that you already had data for the Work, author, and series in your EI 
    (matched on the elements:
      'Identifier' for the Work, Author and series
      or 
      'Authorized Access Point' for the Work, Author and series
  
  When the Expression record is imported, 
    the Import process links that record
    to the Work record that is already present in your EI,
    and that Work record is already linked to the author record
    and the series record. 
  • Double-click on the heading for the Expression
This opens the record for the Expression.

You should always check 
  that everything that could be mapped
  from the MARC Authority record was mapped.
  
You should also always check that the Expression record 
  that you are about to import
  is the one that you want.

Import the Expression Record

For the purpose of this tutorial, 
  let's say that this is the Expression record that we want.

And let's say that we know that this Expression
  is for a resource that contains Text,
  so we need to add Content Type "Text" to this record.
  • Click on 'Language of Expression'
Note the warning that you have not yet imported the record
  • Click OK
  • Close the Expression record
  • Return to the R-Tree for the import
  • Click the down arrow by the <Import> button
    • Select <Selected records>
    • Click <OK>
  • Double-click on the Expression heading again

Add Data to the Expression Record

Now you can add the Content Type "Text" to this record.
  • Click on 'Language of Expression'
    • Hit <F4> to insert a blank element row below Language
  • Type 'content'
    • <Tab> to the Text box for 'Content Type'
  • Type 'Text'
    • Hit <Enter>
  • Save the record <Ctrl+S>

View the R-Tree for your set

  • Click the <R-Tree> button
Notice that the German Expression is linked to its Work.
  • Click the [+] for the Work
Notice that the Work is linked to the Series that it is in
  and to its author.

End this Tutorial

  • Return to the Main Menu
  • Close everything
